Your privacy at Heart of a Mentor
Last updated October 20, 2026
Heart of a Mentor is the HOAM Mentorship program of Heart of a Man Inc. Men trust us with personal parts of their lives, and we take that seriously. This page explains, in plain language, what we collect, why, who can see it, and how to reach us.
What we collect
When you apply or are added to the program:
- Your name, email address, phone number and ZIP code.
- Your age, marital status and number of children, if you choose to share them.
- The church you attend, if you share it. We use it to help match you with a mentor nearby from the same church.
- Your application answers, such as your story, the areas where you would like support and your goals.
- Your education, work and certifications, if you add them.
- A profile photo, if you choose to add one. We keep only the square you crop, and remove the hidden location and camera details phones store in photos.
While you take part in the program:
- Notes your mentor writes after your meetings, and any private notes he sends you.
- Moments: important things in your life that you share with your mentor outside a meeting, which he records.
- Feedback you give after a meeting, including your ratings.
- Results of the 7 Relationships Assessment, if you take it.
- Budgets you create in the budgeting tool.
For your account we keep your sign-in email, your password in scrambled form (we can never read it), and records of sign-ins and security codes. Our hosting provider also counts page visits so we can see how the site is used; private link codes are removed from those counts.
How we use it
- To match you with a mentor and help your mentor support you well.
- To help program leadership care for every mentoring relationship.
- To measure the program's impact over time, such as growth, milestones and time spent together.
- To keep in touch with you about the program.
- To keep your account secure.
We never use your information for marketing, and we never sell it.
Who can see what
- You can see your own profile, the notes your mentors send you and your budgets.
- Your mentor sees your profile and the meetings he logs with you. He sees your feedback only if you choose to share it with him.
- Program leadership (our administrators and leaders) can see what is needed to run the program, including all feedback. A leader who also mentors never sees private feedback about himself; another leader reviews it.
- A mentor's own meeting notes and Moments are seen only by him. Leadership sees the growth they point to, not the notes themselves.
- If a mentoring relationship ends, your former mentor keeps only the record of your time together.
- Your profile photo is seen only by you, program leadership, and the men you have been paired with.
Service providers we use
We share information only with the companies that help us run the program, and only so they can provide their service to us, under terms that keep it confidential:
- Vercel hosts the website and counts page visits.
- Turso stores the program's database.
- Resend delivers our emails.
- Anthropic provides the AI service described below.
How we use AI
An AI service reads mentors' meeting notes and Moments to pick out growth and milestones, so we can see how the program is helping men over time. It receives first names only, never full names.
Feedback is sent to the AI without your name. If you share your feedback with your mentor, the AI helps summarize what went well and what could grow. If you keep it private, the AI only helps flag anything a leader should follow up on, and it is never used to rate your mentor.
Assessment results are analyzed as scores only, without your name.
How we protect it
- All connections to the site are encrypted.
- Passwords are stored in scrambled form that no one, including us, can read.
- Administrators always sign in with an emailed code in addition to a password, and we can require it for other roles too.
- Each person sees only what their role allows, and repeated wrong passwords are blocked.
- We keep a security log of sign-ins and account changes, including the network address and type of device used. Only administrators can see it, and entries are deleted after one year.
- You get an email when your password changes or a new device is remembered on your account.
Keeping and removing your information
If you leave the program, we can make your account inactive. You keep access to your budgets and the feedback or notes you have received. We can also close your account entirely.
You can ask us to remove your information at any time. We will remove what we can and tell you what we keep and why. Some records may be kept so that the program's impact numbers stay accurate.
